We are seeking an Office Administrator to join our counselling service team.

 

The Office Administrator will play a crucial role in ensuring the smooth operation of our office and administrative functions in the mental health sector.

 

The ideal candidate will possess excellent organisational and communication skills, as well as a compassionate and empathetic attitude towards clients seeking counselling services.

 

The ideal candidate will also be able to work under pressure in a fast paced adaptable environment.
 

Responsibilities
Client Interaction: Serve as the first point of contact for clients seeking appointments, wanting to amend appointments booked or requesting information about our services via telephone and email.  Greet clients warmly, answer phone calls, and respond to emails in a timely and professional manner.


Appointment Scheduling: Manage the appointment calendar, scheduling appointments & events, and ensuring the efficient use of time. Follow up requests and send appointment reminders as needed.


Support Services: Provide administrative support to counselling staff and Directors as needed preparing materials for sessions, events, and assisting with administrative tasks.


Communication Liaison: Serve as a liaison between counselling staff, clients, and other stakeholders. Relay important messages and information accurately and promptly.


Confidentiality and Ethics: Maintain strict confidentiality regarding client information and uphold ethical standards in all aspects of the job.


Qualifications
Minimum of A-level or diploma qualification; additional education or training in office administration or a related field is a plus.


Previous experience in an administrative role, preferably in a healthcare or counselling setting would be desirable.


Strong organisational skills and attention to detail.


Excellent communication skills, both verbal and written.


Proficiency in Microsoft Office particularly Word, Excel, and Outlook.


Ability to multitask and prioritise tasks in a fast-paced environment.


Compassionate and empathetic attitude towards clients seeking counselling services.


Knowledge of confidentiality and data protection regulations.
